    What Does It Cost to Ship a Trade Show Booth?

    A portable display may cost a few hundred dollars round trip. A large crated exhibit can run several thousand. The biggest factors: total weight, dimensions, distance, piece count, and how early the freight is scheduled.

    Drayage (material handling)

    Charged by the show's official contractor to unload your shipment, move it to your booth, store empty crates, and reload after the show. Billed per 100 lbs, often with a 200-lb minimum. Published 2026 show manuals list standard rates of $115–$180 per 100 lbs; late or special-handling freight costs more. Consolidated, well-labeled shipments and hitting the show’s delivery deadlines are the biggest ways to keep that fee down.

    For most shows, freight should leave 2–3 weeks before your move-in date (the day you're allowed into the hall to set up) to hit the advance warehouse (the show's official early-receiving depot) window comfortably. Expedited options exist, but they're expensive. The cheapest booth shipping is the kind planned early. When your booth is stored with us, we back-plan every shipment from your target date automatically.

    Shipping to the advance warehouse (the show's official early-receiving depot) is usually safer and often 20–30% cheaper on drayage (the venue's fee for moving your freight from the dock to your booth), but it isn't always the right call. We compare both for each venue and route your freight accordingly. You don't have to learn the difference.

    Yes. We can receive your booth from your office, exhibit house, or another warehouse, then prep, label, and ship it to your show. Most clients end up leaving it with us afterward. That's when shipping gets truly push-button.

    We prepare all the shipping paperwork and target-date scheduling, and we coordinate with the show's general contractor (the company running the show floor). Drayage (the venue's fee for moving your freight from the dock to your booth) itself is billed by the venue's contractor, but consolidated, properly labeled shipments, our job, keep that bill down.

    Our warehouse is in San Diego (15 minutes from the San Diego Convention Center), and we ship booths to any show in the United States. For San Diego shows, we deliver directly to your booth space during your move-in window (the setup period before the show opens).

    Everything in your program: demo equipment, monitors, flooring, literature, swag, giveaways, and furniture. It's all photographed and cataloged, so you can tell us 'send the 10x20 kit plus 4 boxes of tote bags' and that's exactly what arrives.
